Work Schedule: 
8.5 hours per day Monday to Friday, 5 hours Saturday

• Medical Secretary Diploma or executive secretary Diploma
Work Experience:
• A minimum of 1 year work experience in this field or other relevant work experience

Required Skills: 

• Good communication skills
• Good in English, French is a plus
• Good organizational skills
• Basic computer skills
• Team worker
• Ability to maintain confidentiality of records and information
• Accountable for charging patient accurately

Responsibilities and Duties: 

• Answer calls promptly and relay message to the right person
• Assist in receiving and greeting unit visitors in courtesy, including providing them with relevant information and directing them appropriately
• Communicate effectively with patients, visitors, nurses, physicians and other members of the health care team
• Coordinate patient diagnostic appointment with different department internal and external to the hospital
• Coordinate with other departments like admitting office, maintenance, housekeeping ,laundry, stores, pharmacy and others to secure the unit needs and ensure the smooth and proper functioning of the unit
• Organize and maintain paper and electronics files
• Ensure all appropriate and all necessary documentation for admissions ,transfers and discharge is completed in a timely manner
• Ensure proper and complete documentation of patient Identification on the medical record sheets
• Get and return patient charts from/to the Medical Record Department upon admission and after patient discharge.
• Inform physician about new admissions and transfers
• Coordinate with insurance companies, NSSF, MOH and other financial coverage companies for approval of any procedures or X-ray.
• Keep nursing station organized with adequate supply and stationary available to the medical and nursing staff which includes but it is not limited to:

1. Ordering forms and supplies as required by the unit
2. Receiving supplies and stocking them in an organized way
3. Checking on the availability of supplies on an ongoing basis

• Fill patient charge slips accurately for all chargeable items
• Follow up with nurses on patient charges to maintain availability of chargeable items in the unit stock and avoid loss replenishment
