Work Schedule: 
Regular schedule (47.5 hours / week). Overtime as required.
Requirements: 

Minimum Executive Secretary or High School diploma.
Minimum of 1 year work experience in similar field.

Required Skills: 

Good verbal and written English skills. French is a plus.
Good computer skills, especially in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Excellent time management and organizational skills. Able to prioritize different tasks.
Excellent written and oral communication skills.
Respect of confidentiality.
Initiative and the ability to work with minimal direction.
Self- motivated, enthusiastic, with a positive attitude.
Knowledgeable in general pharmaceutical terminology.
High attention to detail.
Good customer service.
Able to work as part of a team.

Responsibilities and Duties: 

Greet patients and their families, determine purpose of visit, and direct them to appropriate staff.
Answer phones; fax and make copies of documents; take messages; direct calls and contact clients, as required.
Deal with incoming and outgoing mail. Organize and manage internal and external telephone lines.
Schedule outpatient and inpatients appointments; maintain the appointment book and classify patient by priority with the collaboration of the physician and the head nurse.
Check and enter patient information, manage data and create documents on the computer system.
Prepare invoices for outpatient and inpatient and process reports to aid in billing responsibilities.
Prepare and process all purchase orders equipment. Receive the equipment ordered and sign the delivery note.
Provide in the endoscopy unit the stock of office supplies, household and pharmaceuticals products and, clean linen.
Participate in performing all aspects of patient care in an environment that optimizes patient safety and reduce the likelihood of medical/health care errors.
Organize formalities necessary for patient examinations.
Educate patients on the various administrative procedures to accomplish.
Provide patients with medical reports.
Complete documents, case histories, and forms such as insurance and other claim forms. Maintain office files.
Coordinate repairs to office equipment.
Maintain a professional relationship with Physicians, Technicians, Nurses, and other department staff.
Provide a high quality secretarial and administrative service to ensure efficiency in patient care.
Help in the Quality Management activities (data collection, data analysis, statistics….)
Be responsible for the closure of the Endoscopy unit.
Follow and ensure strict safety procedures.
