Regular schedule (42 hours / week). Overtime as required.

 Executive Secretary or High School diploma or BT3.
 Minimum of 2 years work experience in similar field.

Required Skills: 

 Good verbal and written English skills. French is a plus.
 Good verbal and written communication skills.
 Proficient in reading doctors’ hand written prescriptions.
 Good knowledge of medical vocabulary.
 Able to prioritize different tasks.
 Good computer skills.
 High attention to detail.
 Good customer service.
 Respect of confidentiality.
 Able to work as part of a team.
 Good organizational skills.

Responsibilities and Duties: 

 Provide a high quality secretarial and administrative service for the Doctors to ensure efficiency in patient care.
 Greet patients and their families, determine purpose of visit, and direct them to appropriate staff.
 Handle patients' register and assure the follow-up.
 Organize and manage internal and external telephone lines.
 Schedule and confirm patient diagnostic appointments, surgeries and medical consultations.
 Organize formalities necessary for patient examinations, dates of admission and operations.
 Be responsible for patient records, their classification and archiving.
 Be responsible for the computerized management of patient medical records.
 Deal with incoming and outgoing mail.
 Register and follow up on all new patients.
 Maintain and store files ensuring information is accurate and up-to-date.
 Educate patients on the various administrative procedures to accomplish.
 Provide patients with medical reports.
 Ensure proper functioning of the clinic.
 Receive patient payments and/or issue payment receipts
 Deliver the payments' consultations at the end of day to the main cashier.
 Greet medical representatives, responsible for informing doctors about new drugs.
 Receive and route messages and documents such as laboratory results or post-operative report to appropriate staff.
 Maintain a professional relationship with Physicians, Nurses, and other office staff.
 Complete documents and medical exams results for the patients file.
 Ensure that NSSF and other claim forms are completed, signed and stamped by physicians
 Order and stock supplies.
